Email and Chief of Staff setup

Lindsey, this is a repeatable routine that helps you organize your work. You do not need to write code. Take one step at a time. If you get stuck, Nate can walk through it with you on a call.

1. Start in your HQ

[ ] Open Lindsey HQ and start a conversation.
[ ] Upload Lindsey_Chief_Of_Staff_Workflow.md from this hub to the conversation, then paste this:

> Help me set up my Chief of Staff using this workflow and my cognition. Use what you already know about me. Walk me through one step at a time. Ask only a question needed for the next step and wait for my answer. Help me check every email account, then create and test my reusable routine. Do not send or change anything during setup.

Success: it gives you one understandable next action, without asking you to repeat your interview.

2. Connect and check your email accounts

The interview record lists four inboxes across two services. Enter their addresses privately in HQ. Correct the list if your accounts have changed.

Inbox	Address	Connected	Known message found
Foundation Outlook	Fill in privately	[ ]	[ ]
Personal Outlook/Hotmail	Fill in privately	[ ]	[ ]
Foundation Gmail	Fill in privately	[ ]	[ ]
Personal Gmail for school/sports	Fill in privately	[ ]	[ ]

[ ] Open Settings → Plugins, select Gmail or Outlook Email, and install/connect if needed. Sign in to the intended email address and complete the permission screen.
[ ] Under Connected accounts, use Connect another account, when available, for the second address. Repeat for the other service. Test existing connections before reconnecting them.
[ ] If another-account setup is unavailable or requires approval, record the message and ask Nate for help. Keep working connections in place. Multiple-account support varies by app and account.

For each inbox, choose a message you can already see in your email app. In HQ, select the relevant email app with @ or the + menu when available, then ask:

> In [email address], find the email from [sender] about [subject] around [date]. Show the sender, subject, date, and one detail so I can check the match. Include the source when available. If you cannot search this specific account, say so. Do not send or change anything.

Success: each inbox has its own verified match or a recorded problem. One successful search does not verify every account. If a message is not found, confirm the selected account and try another known message. Never paste passwords or sign-in codes into chat.

3. Create your Chief of Staff skill

[ ] Look for Plugins → Skills in the sidebar.
[ ] If available, return to the HQ conversation containing your workflow and paste:

> Create a skill called “Lindsey Chief of Staff” using the attached workflow. Run it when I say “Run Chief of Staff.” Use my HQ cognition when available and tell me when it is missing. Review each requested email account separately. Preserve the task I came to finish. Give me priorities with reasons, decisions for me, draft replies, and items waiting on someone else. Keep the account and source with each item. Ask one necessary question at a time, using existing context first. Do not invent deadlines or commitments. Do not send or change records without my explicit instruction. Help me install and test the skill.

[ ] Follow the installation prompt, then check that the skill appears under Installed.

If Skills is missing, use Lindsey_Chief_Of_Staff_Workflow.md as a saved HQ source and ask ChatGPT to follow it there. Nate can check native skill availability later. An uploaded workflow document is not an installed skill. You do not need to change plans to try the HQ routine.

4. Run it on your real work

Paste this into HQ:

> Run Chief of Staff. Review the last three days across each email account we successfully tested. Name every account reviewed and flag any you could not access. I came here to work on [my task]. Show what needs attention first and why, what can wait, and what is waiting on someone else. Prepare replies where you have enough information. Keep the account and source with each item. Ask me one necessary question at a time. Do not send or change anything.

If a reply sounds wrong, say: “Here is how I would say it…” If a priority is wrong, explain why. Ask ChatGPT to update the installed skill, or revise the HQ workflow if using that route, and confirm the change was saved.

Success: you can repeat the request in a new HQ conversation and receive a useful briefing with accurate account coverage and a draft you would use. If an account is inaccessible, the briefing must say so.

Chat and Work: Use Chat to think through something or draft a reply. Use Work, when available, to carry out a task such as organizing material into a document. Start in HQ and describe the result you need. Neither mode means your inbox is being watched in the background.
